Schedule a Google Meet in Google Calendar

This is the main path, and the one Google recommends. The steps come from Google's Meet scheduling documentation:

  • Open Google Calendar on your computer.
  • At the top left, click Create, then Event.
  • Give the event a title, set the date and time, and add your guests.
  • On a work or school account, the Meet link attaches automatically once you add invitees. On a personal account, click Add Google Meet video conferencing yourself.
  • Click Save. When Calendar asks whether to notify your guests, click Send.

That last click matters more than it looks. Save without Send and the event sits quietly on your calendar while your guests hear nothing. If you've ever been accused of a "stealth invite", this button is why.

One account type sits outside this flow: Google Workspace Essentials users can't schedule meetings from Google Calendar at all, per the same Google document. They schedule from meet.google.com instead.

Your account type changes more than the auto-attach behavior. Schedule in Google Calendar simply redirects you to a fresh Calendar event, which is why this article keeps insisting the Calendar path is the real one.

Create a meeting for later is the underrated option. It hands you a bare link with no date attached, which makes it perfect as a standing room: a weekly 1:1, office hours, a link you keep in your email signature. Because the 365-day clock resets on every use, a link you meet on regularly effectively never dies.

The 80-day rule on Calendar links is the one that bites. A code from a one-off event quietly expires, someone reuses the old invite months later, and the room is gone. If you need a durable link, create it on meet.google.com; if you need a scheduled event, let Calendar generate a fresh code.

Schedule a Google Meet on iPhone, iPad, or Android

The mobile flow confirms the pattern: the Meet app immediately hands you to Calendar. From Google's mobile instructions:

  • Open the Google Meet app.
  • At the bottom right, tap New.
  • Tap Schedule. The Google Calendar app opens with a new event.
  • Set the title, time, and guest list, then tap Save at the top right.

You can skip the Meet app entirely: in the Google Calendar app, tap Add, then Event, fill in the details, add guests, and save. On work and school accounts the video link attaches the same way it does on desktop. Host controls live here too, under Add video conferencing when you create the event.

One warning for iPhone users who live in Apple's calendar: Google's documentation is explicit that Meet links created through Apple Calendar or other third-party calendar apps may get regenerated automatically for security, with an email telling you after the fact. Manage Meet links in the Google Calendar app or at calendar.google.com, and use Apple Calendar for viewing. Schedule a Google Meet from Outlook

Microsoft-first companies can still schedule Meets without leaving Outlook, through the Google Meet add-in for Outlook. Two install routes:

  • Windows with Google Drive for desktop: Drive for desktop version 39 or later ships the Meet plug-in for Outlook alongside its file features.
  • Everyone else: install the Google Meet Add-In from Microsoft AppSource. It supports Outlook 2016 and 2019 for Windows, Outlook 2016 for Mac, and Outlook on the web. Exchange admins may need to allow add-in installation first.

After installing, a Meet icon appears when you edit an Outlook email or calendar event. Click it, sign in with your Google account, and the joining information drops into the invitation. Meeting codes created this way follow the 365-day rule, and each use adds another 365 days.

The add-in doesn't exist for mobile Outlook, so schedule from a computer. And external guests still knock: someone from your organization has to admit them when they ask to join.

When the time isn't fixed yet, schedule backwards

Everything above assumes you already know when the meeting happens. A lot of "scheduling" is the step before that: finding a slot with someone whose calendar you can't see. Google's answer is the appointment schedule, built into Google Calendar: click Create, choose Appointment schedule, set your availability, and share a booking page where people pick their own slot, with Meet as the conferencing option. You can only set one up in a browser, not in the mobile apps.

It works, with real limits. An April 2026 r/googleworkspace thread shows the sharp edge: the poster's booking page could only check their main calendar, not the two shared calendars or the Outlook feed where their actual commitments lived, so booked slots and busy slots drifted apart. A reply in the same thread points out that cross-calendar availability checking is gated behind specific paid Workspace subscriptions. Common mistakes when scheduling Google Meets

  • Reusing a link from an old one-off event. Calendar-generated codes expire after 80 days of disuse. If the standing invite in your inbox is from last quarter, test it before the meeting, or create a meeting-for-later link that renews itself.
  • Saving without sending. Guests only hear about the event if you click Send on the notification prompt. Silent saves are the most boring reason meetings get missed.
  • Creating Meet events from Apple Calendar. Third-party calendar apps can trigger an automatic code regeneration, and the email notice arrives after your guests already have the old link.
  • Treating the invite list as security. Links forward freely. If the content is sensitive, set Meeting access to Trusted or Restricted through host controls instead of hoping nobody shares the URL.
