Meeting Poll Maker: find the best time for any group
If you've ever tried to schedule a meeting with more than three people, you know the problem. Email threads grow, time zones get tangled, and the meeting either drifts a week or never happens. A meeting poll cuts through that. You list the times you'd consider, share one link, and everyone marks the slots that work. You see the winner in the results view above the moment votes come in.
meetergo's meeting poll is free, requires no account, and stores all data on European servers. There's no upgrade prompt halfway through, no banner asking for a credit card, no participant cap. It's the tool we use ourselves when our own team needs to land a time fast.
When to use a scheduling poll instead of a calendar invite
Use a poll when more than three people need to coordinate, when participants don't share a calendar system, or when you can't see everyone's availability. Use a direct calendar invite when you already know the time and only need confirmation. The rule of thumb: if you'd guess wrong about who's free, send a poll.
Common cases we see: board meetings where members work at different companies, kickoff calls with external clients, social planning across friend groups, study sessions for university classes, and recurring team standups where the schedule is still being negotiated.
How meetergo's meeting poll works
1. Propose 3 to 6 options
Fewer than three options usually means a calendar invite is faster. More than six and decision fatigue sets in. Three to six covers the realistic window where everyone has at least one free slot.
2. Send a single link
You get a short URL after creating the poll. Send it on Slack, in an email, via WhatsApp, anywhere. Participants don't install anything and don't create an account.
3. Watch the votes land
Each new vote updates the results view. The slot with the most checked-as-available marks turns into the winning candidate. You don't need to chase anyone.
4. Convert the winner
Once the votes converge, click the conversion button to turn that slot into a real meetergo booking. Calendar invites, video link, and reminders go out to everyone automatically.
Privacy and EU compliance
Every poll lives on EU infrastructure. We don't share participant data with third parties, we don't run ads on the tool, and a data processing agreement is available if you need one for your company. The poll URL is unguessable, but anyone with the link can vote. If you need stronger access controls, sign up for a free meetergo account and create a private poll there.
How this compares to Doodle and When2meet
Doodle is the legacy option. It works, but the free plan limits options, shows ads, and pushes participants toward a sign-up. When2meet uses a grid that's great for casual planning but doesn't pair with a calendar or convert to a booking. meetergo's poll keeps the simple free experience, removes the ads, and lets you go from poll to confirmed meeting without leaving the page. We've benchmarked all three in the comparison table below.
