How to choose

Work through this order rather than comparing feature grids:

• Decide whether you are buying a mailbox or a suite. If you already pay for document tooling elsewhere, a dedicated mail host costs a fifth as much for the email part.
• Answer the jurisdiction question before the feature question. If a contract, a DPIA or a public-sector tender asks whose law reaches the data, that answer eliminates most of the list. The distinction turns on corporate structure, which the Court of Justice addressed in the Schrems II judgment and the US CLOUD Act makes concrete. FAQ

Can I keep a free Gmail or Outlook.com address for business?

Technically yes, practically no. Deliverability suffers because you cannot authenticate a domain you do not control, and larger buyers read a consumer address as a signal about company size. The gap between free and €1 per user per month is not where to save money.

How long does migrating mailboxes actually take?

For under 20 users, plan a weekend. The mail moves in hours with a provider-supplied migration tool. The time goes on DNS propagation, reconfiguring every device, and finding the services that were quietly sending from the old domain.

Do I need encrypted email to be GDPR compliant?

No. The GDPR asks for technical measures appropriate to risk, and transport encryption plus access controls covers ordinary correspondence. End-to-end encryption matters for health, legal or financial data. In an audit, where the data sits and who can compel access to it carries more weight than whether individual messages are end-to-end encrypted.
