The deadline. Meta's per-message billing has applied since 1 July 2025, and from 1 October 2026 service messages and utility templates sent inside an open 24-hour window stop being free.
What pays. An auto-reply that only acknowledges receipt is the flow least worth paying for. The ones that pay are the flows that end in a booked slot or a qualified contact.
What doesn't. Scheduled personal sends are a phone trick, not a business automation. Anything you build there breaks when Meta ships native scheduling.

Almost every guide to this topic sells you an API on the first scroll. That skips the part that decides your budget: the free WhatsApp Business app is not billed per message, and the WhatsApp Business Platform is. The sequencing that saves the most money is to squeeze the free app until a specific flow visibly earns its own message fees, then move that one flow up.

That matters more in the next few weeks than it has in two years. Two of the free levers people have relied on since late 2024 close on 1 October 2026.

What WhatsApp automation costs after 1 October 2026

Meta moved the WhatsApp Business Platform from per-conversation to per-message billing on 1 July 2025. Every template is priced individually at a rate set by the recipient's country code, so any article quoting a flat cent figure for "a WhatsApp message" is quoting one market and hoping you don't check.

Two exemptions are ending. Per Meta's WhatsApp pricing documentation, service messages have not been charged since November 2024, and utility templates delivered inside an open 24-hour customer service window have been free alongside them. Both become chargeable on 1 October 2026.

Watch this. If your reminder flow was built on "the customer wrote first, so utility templates are free", price it again before October. Weekly sends versus monthly sends stop being a rounding difference.

The two ways to automate WhatsApp, and which one you need

There are exactly two surfaces. The free WhatsApp Business app runs on one phone and covers three automations. The WhatsApp Business Platform runs through a provider, has no message caps, and bills per template.

The honest split: under roughly thirty inbound chats a day with one person owning the phone, the free app is the correct answer and a platform is an expense with no matching outcome. Once two people need the same number, or a chat has to become a CRM contact, the free app runs out of room and no workaround fixes it. That is where a shared live chat inbox starts doing real work rather than duplicating the phone.

How to set up automatic WhatsApp messages in the Business app

This is the free half, and it takes about ten minutes. The steps below are for the WhatsApp Business app on Android or iOS, not the personal WhatsApp app, which has no auto-reply of its own.

Step 1: Open Business tools

In the WhatsApp Business app, open Settings (the three dots on Android, the Settings icon on iOS) and choose Business tools. Greeting message, Away message and Quick replies all live here. If you only see the standard chat settings, you are in the consumer app and need to install WhatsApp Business instead.

Step 2: Turn on the greeting message and give it a next action

Tap Greeting message, switch it on, and write the text. This fires for a first-time contact or after 14 days of silence, so it is the single most valuable line you will write all year. Do not spend it on "thanks for your message". Put your booking link in it, generated once with our WhatsApp link generator so the customer can act without waiting for you.

Step 3: Set the away message to a real schedule

Tap Away message, switch on Send away message, then set Schedule to Outside of business hours rather than Always send. Always send is the setting that makes customers think the account is unattended, and it fires even when you are two seconds from replying. Choose Recipients if you want it limited to everyone except your regulars.

Step 4: Save quick replies as keyboard shortcuts

Under Quick replies, add the four or five answers you retype every week: pricing, opening hours, where to park, how to reschedule. Each gets a slash shortcut, so typing /price expands the whole reply. Not automation in the strict sense, and it saves more minutes per week than anything else here.

Tip. Write the away message so it survives being read at 3am on a Sunday. A time-bound promise ("we reply by 9am on weekdays") beats an open-ended "we will get back to you soon", which sets no expectation and so cannot be met.

The five flows worth building

Ranked by payback, not by how impressive they look in a demo.

The cheapest automation in existence, and the only one on this list that costs nothing at any volume. A first-time contact arrives, gets a one-line welcome, and gets a link that shows real availability. If you do nothing else in this article, do this.

2. Away message that names an alternative

An away message that only says "we are closed" converts nothing. An away message that says "we are closed, here is the booking page, here is the emergency number" turns dead hours into slots. In a 40-comment r/AskMarketing thread on automating WhatsApp replies, the recurring ask is not for cleverness but for the customer to get something actionable the moment they write, which is what an alternative-naming away message does.

3. Appointment confirmation and reminder

This is the flow with a measurable outcome attached: fewer no-shows. It needs the Platform, because the message has to fire off a calendar event rather than off an inbound chat. A confirmation goes out at booking, a reminder goes out 24 hours ahead, and both carry a reschedule link so a cancellation lands as a freed slot instead of an empty chair. Price it against October, though. If your reminders currently ride the free utility window, they get a per-message cost in a few weeks, and a 24-hour reminder to every booking is a very different line item from a 24-hour reminder to bookings worth more than a threshold you set.

4. The scheduled personal send, which you should skip

Search volume for sending a WhatsApp message automatically at a set time is real and mostly consumer. Two reasons not to build a business process on any of it. These automations run on a single phone that has to stay signed in, so they die with that phone. And WhatsApp has been rolling out native scheduled sending, which retires the workaround entirely. Use the Platform's scheduled campaigns for anything that matters.
