Key Takeaways

  • The small-business line is narrower than the Salesforce most people picture. It runs Free Suite, Starter Suite at $25 and Pro Suite at $100 per user per month (checked 2026-11-05). The full platform starts at Core, $195.
  • Only the entry tier is payable month to month. Pro Suite and above bills annually, and Pro Suite is labelled contract required.
  • Native booking is on neither small-business suite. Salesforce Scheduler is sold with Core and Advanced at $25 per user per month on top of the licence.
  • The real cost is admin hours. Starter switches on fast. Configuration work arrives when you outgrow it.

The distance between those two paid suites and the rest of the platform is the whole decision. Every price and limit below came from Salesforce's own published pricing pages on 2026-11-05, and anything from an earlier check says so.

What Does Salesforce Actually Sell to Small Businesses?

The small-business catalogue is three products, not the full platform. Free Suite is a permanent $0 tier limited to two user licences, with contact tracking and click-based AI. Starter Suite at $25 per user per month bundles sales, service, email nurture campaigns, lead scoring and lead routing, plus a connected Slack workspace. Pro Suite at $100 per user per month adds sales quoting and forecasting, real-time chat, deeper customisation and marketplace access (all checked 2026-11-05).

Upgrading from Free Suite removes the two-user cap, and Salesforce states there is no user maximum on Starter. No page states a minimum seat count or term, beyond a note that most Salesforce products use annual contracts.

The naming trap. Salesforce's current cards read Starter, Pro, Core, Advanced and Max, but the Core card still describes itself as everything in Professional Edition, and the add-on pages still label availability as Enterprise/Core and Unlimited/Advanced (checked 2026-11-05). A partner quote and the public page can describe the same seat with different words. Ask which edition name the contract uses.

Who Is Salesforce Right For, and Who Should Look Elsewhere?

Salesforce earns its place when the record is the point. If your two-year roadmap involves custom objects, a service desk, partner portals and reporting finance will accept, buying in early and growing inside it is defensible. The same goes for teams that already have an operations person, because that person is what turns a licence into a working system.

It is a poor fit in three cases. Solo operators and pairs get more from the free tier than a paid seat, and will hit its two-licence cap before they outgrow its features. Teams whose pipeline starts with a booked appointment need the booking layer first, and neither small-business suite has it. And anyone who needs forecasting on day one is looking at $100 per user per month on an annual contract, not $25.

PlanPro Suite

PlanMax

All figures checked 2026-11-05, per user per month, US list prices.

Both small-business suites carry the note that these are starting prices and transaction fees apply, so the sticker is a floor. Web Services API access adds $25 per user per month on the Sales Cloud comparison table. Marketing email capacity is an add-on, and an October check put the included allowance at 2,000 sends a month with each further 1,000 at $10 (checked 2026-10-06). Agentforce for Sales is $125 per user per month, with Flex Credits at $500 per 100,000 and unused credits expiring at term end (checked 2026-10-28).

One multiplier has moved in the buyer's favour. Premier Success, which used to read as a percentage surcharge on net licence fees, is now listed as included with Core, Advanced and Max (checked 2026-11-05). On Starter and Pro Suite it is an unpriced add-on, so the two cheapest tiers are the two where paid support is still a quote.

What Does Setup Actually Take?

Starter Suite is the honest exception to Salesforce's reputation. The small-business pages promise guided onboarding and describe setup as effectively nothing, and for a team importing a contact list and working leads in a default pipeline, that is close to true. Nobody needs a consultant to send email nurture from Starter.

The effort appears at the first customisation. Pro Suite is where custom objects, deeper automation and marketplace apps arrive, and those turn a subscription into a project: deciding what a record means, who owns it, what each stage requires before it advances. A September 2025 r/salesforce thread titled "Sold as Small Business Friendly, Delivered as a Time-Sucking Nightmare" is the clearest account of how that lands inside a small company (r/salesforce discussion). A 10-comment r/salesforce thread on Salesforce at a small startup reaches the same place from the other direction, that a company that small rarely needs something this complex and that storage gets expensive for what you get (r/salesforce thread).

Search for Salesforce costs in any European market and the first page belongs to implementation partners rather than Salesforce. That ecosystem exists because the configuration work is real, and it appears on no pricing page.

Can Salesforce Run an Appointment-Driven Sales Process?

Not on a small-business suite, and this is the single most useful thing to know before you buy. Salesforce's native booking product, Salesforce Scheduler, is listed with Core and Advanced at $25 per user per month, or $15 per asset per month, and it does not appear on the sales add-on catalogue at all (checked 2026-11-05). For a team on Starter, the cheapest published path to native Salesforce booking is Core at $195 plus Scheduler at $25, so $220 per user per month against the $25 they are paying now.

So small businesses run a separate booking tool in front of Salesforce and push the appointment in. Our look at Salesforce Scheduler covers the add-on once you are on a qualifying edition.

The follow-up gap. Starter and Pro Suite will hold the lead, score it and route it. They will not hand a prospect a booking page, send an SMS reminder, host the call, collect a deposit or get a contract signed. Those five steps stay with whatever sits in front of the CRM.

Where Salesforce Shines and Where It Falls Short

Where Salesforce Shines

  • A single record model that scales from a two-person contact list to a multi-cloud platform without a migration
  • A genuinely useful free tier for solo operators, with no card and no contract
  • Monthly billing on the entry suite, which is rare at this end of the market
  • Lead scoring and email nurture included in Starter rather than sold as a marketing upgrade
  • An add-on catalogue that means almost any future requirement has a published answer

Where Salesforce Falls Short

  • Value for money is the weakest sub-score reviewers give it, 4.0 out of 5 on Capterra's Sales Cloud listing (checked 2026-10-26)
  • Forecasting and quoting sit behind a four-times jump to an annual contract
  • Appointment booking is unavailable on both small-business suites
  • Paid support is an unpriced add-on on the two tiers small businesses buy
  • Setup effort is the recurring complaint in small-company threads, including the September 2025 r/salesforce discussion above

What Do Salesforce Reviews Say?

Two Capterra samples tell the same story at very different scale. On the Sales Cloud listing, 18,766 reviewers average 4.4 out of 5, and the sub-scores split: features 4.4, support 4.1, ease of use 4.0, value for money 4.0 (checked 2026-10-26). On the much smaller Salesforce Starter listing, 226 reviewers also land on 4.4, and value for money is again the weakest line at 4.0 (checked 2026-10-06). Small-business buyers and enterprise buyers are unhappy about the same thing.

Capterra's own summary of the negative reviews names pricing and interface complexity as the recurring friction, and calls out extra fees for features, support and integrations as a problem specifically for smaller organisations (Capterra Sales Cloud reviews, checked 2026-10-26). Ease of use at 4.0 is not a bad score. It is the score of a product that rewards training.

How to Decide Whether Salesforce Fits

Three questions settle this faster than any feature matrix, because each one maps to a hard limit in Salesforce's small-business tiers rather than to a preference.

Does your pipeline start with a booked meeting or with a record? If deals begin when someone picks a slot, the booking layer is your system of record for the first week of every deal, and Salesforce does not provide it below Core. Buy the booking tool first and connect it.

Can you name the person who will own configuration? If the answer is nobody, stay on Starter and accept its defaults, or stay on the free tier. An unowned Salesforce org degrades into a contact list with a subscription attached. Our guide to choosing a CRM for a small business works through that ownership question in more detail.

Is $100 per user per month on an annual contract reversible for you? Forecasting and quoting live on Pro Suite, and Pro Suite is a contract. If the answer is no, prove the process somewhere cheaper and migrate once the numbers justify it. The Starter Suite pricing breakdown has the tier detail, and the Sales Cloud edition review covers the upper tiers.

Where meetergo Fits Next to Salesforce

The gap this article keeps returning to is the one meetergo was built for. It is a scheduling and revenue-pipeline tool out of Cologne, with dedicated pages for sales, talent acquisition, consulting, healthcare and more. It owns the part Salesforce leaves to small teams: the booking page, the reminder, the call, the payment, the signature, and a deal board behind them.

Key Features

Round-Robin and Multi-Host Distribution

Round-robin appointment types spread inbound meetings across a team by availability, so no single rep becomes the bottleneck on fast-moving leads.

Routing Forms and Lead Capture

Routing forms ask qualifying questions before the calendar appears, then send the booker to the right host or disqualify them. Lead Capture Mode records the contact even when the booking is abandoned.

Built-In Sales CRM

Every plan includes a deal pipeline with 10 deals, and the full Sales CRM is €14 per user per month yearly. Deals move on a kanban board and update from booking data, not manual entry.

The Full Appointment Chain

Encrypted video meetings, SMS and email reminders, payments and deposits, e-signatures and automated workflows are included from the free plan up, not sold as separate per-seat lines.

Where meetergo Falls Short

meetergo is not a Salesforce replacement. Its CRM is a deal pipeline, not a configurable platform: no custom objects, no territory modelling, no revenue forecasting, no app marketplace. Round-robin sits on Premium, and the Salesforce integration is a Premium add-on. If your reporting already outgrew a pipeline board, buy Salesforce.

Is Salesforce Worth It for a Small Business?

For most small businesses buying today, Starter Suite at $25 per user per month is worth it and Pro Suite probably is not yet. Starter gives you a real record system with lead scoring and nurture, it bills monthly, and you can leave. Pro Suite asks four times the money on an annual contract for quoting and forecasting, which is a finance-team purchase rather than a first-CRM purchase.

The decision flips if your deals start with a booked meeting. Then the first tool you need is the one that captures, qualifies, books, reminds and charges, and Salesforce does not sell that to small businesses. Buy the booking layer, connect it to a CRM, and climb the Salesforce ladder when a forecast is what you are missing rather than a calendar.

A sales lead at Catch told us their switch to meetergo was less about features than about getting more meetings with the right people and far less manual work. See it running on your own calendar, free, no card.

Salesforce for Small Business FAQs

Is there a free version of Salesforce for small businesses?

Yes. Free Suite is a permanent $0 tier with contact and lead tracking, reports and click-based AI, capped at two user licences (checked 2026-11-05).

Can you pay for Salesforce monthly?

Only on Starter Suite. Salesforce's pricing FAQ says Starter can be bought monthly or annually and most other subscriptions are paid annually in advance. Pro Suite is labelled contract required (checked 2026-11-05).

How many seats do you have to buy?

No published minimum. The small-business pricing FAQ says there is no user maximum on Starter, and no page states a minimum seat count or term for either suite (checked 2026-11-05).

Does Salesforce include appointment scheduling?

Not on Starter or Pro Suite. Salesforce Scheduler is an add-on listed with Core and Advanced at $25 per user per month, or $15 per asset per month (checked 2026-11-05). Small teams run a dedicated small-business booking tool and sync appointments into the CRM.

Do you need a consultant to set up Salesforce?

Not for Starter Suite, where onboarding is guided and the defaults work. Custom objects and deeper automation arrive on Pro Suite, and that is where most small companies either assign an internal owner or hire a partner.

What is the cheapest way to get sales forecasting?

Pro Suite at $100 per user per month on an annual contract, since quoting and forecasting are not in Starter (checked 2026-11-05). Teams that need a pipeline view rather than a forecast get that far cheaper elsewhere.

Is Salesforce a good fit for an EU small business with strict data rules?

It can be, with one caveat: Salesforce is US-headquartered, so EU buyers run the usual transfer and jurisdiction assessment. A Europe-headquartered tool with no US corporate parent and servers in Europe removes that question rather than answering it, which is why data-privacy exposure often decides the scheduling layer even when Salesforce wins the CRM layer.
