Cancellation Policies, New Design Templates, a Revitalized Email Editor, and More

8. September 2025 (vor 6 Tagen)

This season’s update is designed to give you more control, greater polish, and a smoother, more intuitive experience across the meetergo platform. While summer often means slowing down, these enhancements are built to speed up your most important workflows.

This release focuses on three core areas: enforcing your business rules with powerful new policies, elevating your brand with effortless design tools, and streamlining your setup with smarter, more stable controls. From booking pages to post-meeting automation, every improvement is engineered to make scheduling a more powerful, reliable engine for your business growth.

Enforce Your Schedule with Cancellation and Rescheduling Policies

Image

Protecting your time is fundamental to running an efficient business. Last-minute cancellations and constant rescheduling requests can disrupt your entire team's focus and lead to lost revenue, especially for consultants, coaches, and service providers who bill for their time. While meetergo has always made it easy for attendees to manage their bookings, your business rules need to be just as easy to enforce. The absence of a clear, automated policy often forces you into manual follow-ups or awkward conversations to protect your calendar.

Now, you can set a firm, automated cutoff for when attendees can cancel or reschedule a meeting. In your meeting type settings, you will find a new "Scheduling Policy" section. Here, you can specify a minimum notice period—for example, 24, 48, or 72 hours—before a scheduled meeting. If an attendee attempts to cancel or reschedule within this window, the option will be disabled, and they will be shown a custom message explaining your policy. This functionality applies to both one-on-one and group meetings, giving you consistent control across all your offerings.

This simple but powerful setting transforms how you manage your availability. A financial advisor can now prevent clients from canceling a crucial pre-quarterly review a few hours beforehand, ensuring their preparation time isn't wasted. A high-demand consulting firm can enforce a 48-hour rescheduling policy, protecting their consultants' billable hours and allowing enough time to fill the slot from a waitlist. This feature eliminates the administrative overhead of managing last-minute changes and ensures your calendar remains a reliable reflection of your commitments, keeping your summer schedule from melting down.

Style Your Booking Pages Instantly with Premade Design Templates

Image

Your scheduling page is often the first direct interaction a prospect, client, or candidate has with your brand. A generic, unstyled page can create a disconnect from your carefully crafted website and marketing materials. While custom CSS has always offered limitless flexibility for those with technical expertise, it left many users wishing for a simpler way to achieve a professional, on-brand look. You shouldn't need a developer on standby just to make your booking flow look as good as the rest of your brand.

To solve this, a gallery of premade design templates is now available for your booking and confirmation pages. These one-click themes provide a fresh coat of paint, instantly transforming the look and feel of your scheduler. The templates range from sleek and minimalist corporate designs to more vibrant and creative layouts, ensuring you can find a match for your brand’s personality. Simply navigate to your booking page settings, browse the template library, and apply your chosen design with a single click. For our power users, the custom CSS editor remains fully available, allowing you to use a template as a starting point and fine-tune every detail.

This enables your team to present a polished, cohesive brand experience from the very first touchpoint. A boutique marketing agency can now deploy a booking page that mirrors the creative flair of their main website, reinforcing their brand identity. A corporate recruiting team can ensure their candidate scheduling experience feels professional and seamlessly integrated with their careers portal. No more default styling—you can now create an impressive and trustworthy scheduling experience in seconds, leaving you more time for that summer Friday.

Craft Perfect Communications with a Revitalized Email Editor

Image

Clear communication is non-negotiable, but crafting the perfect confirmation or reminder email can be frustrating if your tools get in the way. Our previous email editor was powerful, but its user experience had its quirks. Dynamic variables like {{attendeeName}} were purely text-based, leaving non-technical users to wonder if they had entered them correctly. Basic functions like undo and redo didn't always behave as expected, turning a simple edit into a time-consuming task.

The entire email template editor has been rebuilt from the ground up for a more intuitive and error-proof experience. The most significant improvement is how dynamic variables are handled. Now, when you insert a variable, it appears as a visual, easy-to-read block (e.g., "Attendee Full Name") that clearly shows what data will be inserted. This removes the guesswork and gives you confidence that your emails will be personalized correctly. Furthermore, the editor’s core controls now work exactly as you’d expect in any modern document editor, with reliable undo, redo, and formatting options that feel natural and responsive.

This overhaul makes it dramatically simpler for anyone on your team to create and manage professional, personalized email communications. Your sales team can quickly add custom fields to their demo confirmation emails without worrying about breaking the template. Your customer success managers can confidently craft detailed follow-up reminders with all the right meeting and attendee information. It’s a smoother, faster, and more reliable way to manage a critical part of the scheduling workflow.

Launch Sophisticated Routing in Minutes with New Form Templates

Image

Routing forms are the most effective way to qualify and direct inbound interest to the right person or team, but starting from a blank canvas can be intimidating. We’ve made it easier than ever to deploy a powerful routing funnel with a new library of pre-built templates for common industry use cases, including Sales Qualification, Customer Support, and Recruiting. These templates come with pre-configured questions and logic to get you started immediately. We’ve also improved the routing form settings to be more user-friendly, fixing issues like stale titles that could cause confusion during setup.

This enables you to go from idea to a fully functional lead qualification and distribution system in a fraction of the time.

Rock-Solid Stability for Complex Round Robin Queues

For our power users running sophisticated scheduling operations, reliability is everything. We’ve addressed a key performance issue in the round robin settings UI where the interface would lag by attempting to save changes with every keystroke. Edits are now saved intentionally, making the configuration experience faster and smoother. More importantly, we’ve shipped significant under-the-hood enhancements to resolve edge cases in complex round robin queues that involve a mix of groups and individual users. Your most intricate availability-pooling and assignment logic now runs with even greater stability, ensuring every meeting is routed correctly, every time.

Smarter Host Notifications for Calendar Invites

When you opt to use calendar invites instead of email confirmations, meetergo previously suppressed the host notification email to avoid "duplicate" alerts. However, extensive testing and user feedback revealed that many calendar providers don't reliably generate an immediate notification for the host when an event is added to their calendar. To ensure hosts never miss a new booking, we have reintroduced an email notification for the host in this scenario. Additionally, co-hosts will now also receive a calendar invitation directly, keeping the entire meeting team perfectly in sync.

Automate Follow-Up with the "After Meeting" Workflow Trigger

Automation just became more powerful. A new "After Meeting" trigger is now available in the workflows module. This allows you to build automations that execute once a meeting has concluded, such as sending a follow-up survey, adding the attendee to a specific CRM sequence, or creating a task for the meeting host to complete. This opens up new possibilities for streamlining your post-meeting processes.

More Sunshine and Polish: A Round of UI/UX Fixes

Great software is also about the details. This release includes a host of smaller but meaningful improvements to make your day-to-day experience better:

Attendee Name in Calendar Events: Your calendar events for group meetings will now display the name of the first attendee directly in the title (e.g., "Intro Call - John Doe"), rather than just showing the number of attendees. This makes your calendar more scannable at a glance.

Cancellation Email Setting Fix: An issue in the meeting type communication settings that prevented the cancellation email from being changed properly has been resolved.

Improved UI and Visuals: We’ve swept through the platform to clean up visuals, fix issues where UI modals would overlap, and reorganize the organization settings for a more logical structure. It’s a cleaner, more pleasant environment to work in.
