Resource Channels, Improved Booking Flow, and More!

We've been working, working, working, working hard to bring you features that make scheduling and resource management easier than ever. This release introduces Resource Channels – a powerful new way to manage shared spaces and assets – plus improvements to the booking flow, email templates, and calendar functionality. Let's dive into what's new!

Resource Channels: A New Way to Manage Shared Spaces

Resource Channels are here, opening up exciting new possibilities for managing shared spaces and assets. Now, any resource – from conference rooms to equipment – can be set up as a channel that multiple team members can use in their meeting types.

Here's how it works: When you set up a resource as a channel, everyone with access to that resource can include it in their meeting types. When someone books a meeting that uses the resource, it automatically becomes unavailable for other team members during that time slot. This creates a seamless way to share resources without double-booking.

Real-world use cases:

  1. Conference Room Management: Your team's meeting room can be set up as a Resource Channel. When clients book meetings with different team members, the system automatically prevents scheduling conflicts for the same room.
  2. Equipment Booking: Have a projector or video conferencing system that multiple team members need to use? Set it up as a Resource Channel so when someone books it for their presentation, others will see it's unavailable.
  3. Desk Hoteling: For hybrid workplaces, desk spaces can be set up as Resource Channels, allowing team members to book desks when they plan to be in the office.
  4. Advanced Example: A photography studio can set up different shooting spaces as Resource Channels. Multiple photographers can offer sessions in these spaces, and when a client books with one photographer, that space becomes unavailable for others during that timeframe.

Resource Channels work seamlessly with Round Robin meeting types too, ensuring that when any team member in the rotation gets booked, the shared resource is properly reserved.

Streamlined Booking Flow for Better Conversion

The booking flow has been optimized to improve your clients' experience and boost conversion rates. Channels with multiple options – such as the new Resource Channels or local channels with multiple addresses – are now shown in the same step as other channel options, removing an extra step from the booking process.

Based on your feedback, we’ve updated the new booking page to show the channel selection before the calendar again—just like it was previously. This ensures that your clients are aware of the available options and make their choice before selecting a time. By choosing the channel upfront, they better understand the context of their booking, especially when multiple locations or resources are involved.

Another improvement: customized channel names now appear directly on the booking page instead of generic channel identifiers. For example, your address is displayed directly instead of simply showing "local" – making the booking experience more intuitive for your clients.

Enhanced Meeting Type Channel Settings

The meeting type channel settings interface has been upgraded to provide a better overview of available channels. Connected channels now appear at the top, making it faster to select your preferred options when setting up or modifying meeting types.

This reorganization makes channel management more intuitive, especially as you begin using Resource Channels and managing multiple connection options.

Improved Email Templates

Last week's new email templates have received additional enhancements to ensure they work perfectly across mobile devices, email clients, and screen sizes. After thorough testing, these templates are now ready for everyone to use.

The improved templates now also work with custom SMTP settings, giving you consistent branding regardless of your email delivery setup.

Calendar Improvements

Several enhancements have been made to the calendar view:

  • For meeting types with Double Opt-In (DOI) enabled, the calendar now clearly indicates that meetings must still be confirmed
  • Host confirmation can now happen immediately after booking if necessary
  • Unconfirmed bookings are now visible in the calendar
  • "Bring-along" emails can be added when booking in the instant booker
  • Performance has been improved when entering email addresses
  • Disabled meeting types are now clearly indicated in the interface

Additional Improvements

  • Multi-language Communication Settings: Meeting type communication settings for reminders, follow-ups, and SMS templates now support multiple languages, just like other notifications.
  • SMS Credit Notification Fix: Fixed an issue where users with many SMS credits would receive too many notifications about low SMS credits.
